Universal Print integration with Excel for the web

You can now print directly from Excel for the web to your organization’s printers with Universal Print.

Integrating Universal Print into Excel for the web gives authenticated users a new in-app print experience to search for and print to available printers in their organization. They can do that on any device with Edge or Chrome browsers without installing the printer.

How to use this new feature

If you are using Universal Print in your organization and you have access to your organization’s printers, you can now print directly from within Excel for the web.

To do that:

  1. Open an Excel file in the browser.
  2. Access the print interface in one of 3 ways:
    • Select File > Print
    • Select Page Layout > Page Setup
    • Through the Ctrl + P / Command + P keyboard shortcut
  3. In the Printer section of the right-hand pane, expand the dropdown menu to see the available cloud printers to which you have access.
  4. Select the printer you want to use from the list or search for a printer by name.
  5. You can select the gear icon in the Printer section of the right-hand pane for more printer settings

  6. Select the Print button.

Employees do not need to install the printer on the device used because. When they choose to print to a cloud printer, Excel doesn’t rely on the underlying browser’s print UI. Instead, it communicates with the Universal Print cloud service directly to get printer information and send the document to the selected printer.

More ways to simplify printing

Integrating Universal Print in Excel is another step towards providing a seamless print experience in cloud apps.

Other Microsoft products that use Universal Print to simplify printing are OneDrive on the web, Dynamics 365 Business Central, Azure Virtual Desktop, Windows 365 Cloud PC and more to come.
