00:00:00.000 --> 00:00:20.450
Michael Gannotti
And welcome to mid day cafe. So today there are just two of us. Hi, my name is Mike Gannotti. I am a principle technology specialist here for Microsoft working on Microsoft Teams and I'm joined by my colleague. Hello this is Sue Mensal, Microsoft Teams technical specialist. Same team is Mike G.

00:00:21.460 --> 00:00:51.320
Michael Gannotti
So we are here today. I'm very excited. We're going to be talking a number of things today. I'll be presenting on Microsoft List. Not to be confused with SharePoint lists of yesteryear. And so you're going to be talking. I'm going to be focusing on Co authoring a document, but really, focusing on how we're going to work in a hybrid environment. You know, it's some tools you can use to be able to work when you're apart.

00:00:51.750 --> 00:00:56.490
Michael Gannotti
Yeah, so it's going to be exciting. There's some great stuff we're going to be showing you.

00:00:58.020 --> 00:01:28.580
Michael Gannotti
There's just the two of us. Like I said, I am actually just to set the context while people see my lovely Windows 11 background. I am sitting in the basement of my sons house on the pull out couch made up as a bed. As I'm visiting for the week on vacation, but I did have a couple of meetings including this and I wanted to make sure I attended. So yeah, I'm down here. If grandchild happens to come running and screaming down the stairs.

00:01:29.010 --> 00:01:29.560
Michael Gannotti
I don't know why.

00:01:31.100 --> 00:01:35.490
Sue Vencill
You would never guess you look. It looks a very professional setting you got going on.

00:01:31.170 --> 00:01:31.880
Michael Gannotti
All right?

00:01:35.080 --> 00:01:39.210
Michael Gannotti
This writer mall is very professional with my faux green screen here.

00:01:40.310 --> 00:01:48.870
Michael Gannotti
All right, so I wanted to talk about Microsoft lists and sue Microsoft List. Have you used lists at all?

00:01:49.140 --> 00:01:52.690
Sue Vencill
That's why I'm excited and that's why I want you to go first. I have not.

00:01:53.050 --> 00:02:21.020
Michael Gannotti
So lists are a. You know, we talk a lot these days about power BI power, automate and then power apps, especially to build apps to capture data and display data. And it is true that power apps when we talk about the power platform provides a way to do things locode.

00:02:21.680 --> 00:02:31.310
Michael Gannotti
Right where you don't have to be a developer to get in there and get your hands dirty and maneuver things around, but with.

00:02:31.990 --> 00:02:56.970
Michael Gannotti
You still need though a level of expertise an there still is a a technical level. One of the things that I Microsoft I love and I've loved for years is really getting. I call it getting the mojo out of it is little bag they used to hold and say here's what all did. It contained in one. I will dole out to you as I see fit.

00:02:57.020 --> 00:03:04.930
Michael Gannotti
But you know that's what I started. I remember I was working this instructional web designer. It was still the 90s and.

00:03:06.270 --> 00:03:06.910
Michael Gannotti
I was like.

00:03:07.870 --> 00:03:11.380
Michael Gannotti
Are you kidding me? I wanted to see power in the hands of people.

00:03:13.090 --> 00:03:35.930
Michael Gannotti
So Microsoft with SharePoint introduce something called list where you can create a list. It can capture data, you can have, you know, formatted fields for date and monetary and things like that and have it almost was like a web based database. But there are real limitations around it in comparison to tools at the time, like access or even Excel.

00:03:36.860 --> 00:04:01.160
Michael Gannotti
But those what we've done is, as we've gone to the 365 platform, we have something called called Microsoft List. I want said share point list Microsoft List which are based on some of the underlying data structure not limited by what we have in SharePoint. Although you'll see we surface these in SharePoint and the beauty is they scale.

00:03:46.660 --> 00:03:47.410
Sue Vencill
I heard it.

00:04:01.880 --> 00:04:03.480
Michael Gannotti
They're very performant.

00:04:04.650 --> 00:04:22.500
Michael Gannotti
We have templates available for them for a number of them you can create them from scratch using nothing more than an Excel spreadsheet, and then the last thing is that they are easy to create and use and you don't have to be technical.

00:04:23.770 --> 00:04:40.590
Michael Gannotti
So rather than just talk about it, what I'm going to provide a bunch of resources I'd like to pull them up and I'm going to show three ways of doing list today. Native, just a list standalone within the context of SharePoint. Setting up a list for a site.

00:04:40.930 --> 00:04:40.950
Sue Vencill
Uh.

00:04:41.280 --> 00:04:56.280
Michael Gannotti
And then, finally, I'm going to show setting up a list within teams right within its native in teams, right? So let's go ahead. I'm going to share my one. I don't have multiple monitors today.

00:04:57.810 --> 00:05:01.060
Michael Gannotti
And yeah, that's right. So we're going to go ahead share.

00:04:59.280 --> 00:04:59.990
Sue Vencill
Survive.

00:05:01.670 --> 00:05:09.310
Michael Gannotti
And that's gonna minimize all that time. So I'm going to squash you down. Below. There we go.

00:05:10.250 --> 00:05:10.910
Michael Gannotti
Yeah.

00:05:11.510 --> 00:05:17.280
Michael Gannotti
Let's go, yeah, I'll keep it like this so here you can see I'm in the beautiful glory of what is this?

00:05:19.060 --> 00:05:20.380
Sue Vencill
It's beautiful.

00:05:20.810 --> 00:05:21.710
Michael Gannotti
But what is it?

00:05:22.330 --> 00:05:25.850
Sue Vencill
Oh, the actual picture of windows. The Windows 11 background.

00:05:26.060 --> 00:05:41.270
Michael Gannotti
We're in window. I am in Windows 11. I got it running so the developer preview it. We're releasing that, you know, publicly and so here we are and what I'm going to do is bring up. I do have a demo tenant.

00:05:28.070 --> 00:05:29.100
Sue Vencill
You are.

00:05:42.530 --> 00:05:56.880
Michael Gannotti
And like I mentioned, I have 3 views. We're going to look at lists, SharePoint and then teams. Let's start with lists. So to find list for those of you who are listening via podcast and audio podcast.

00:05:57.210 --> 00:06:27.130
Michael Gannotti
Uh, it's very simple. If you go to your 365 home page and you know I'm going to go on this one is the landing. So it's the landing homepage portal. If you go up to the upper left hand corner there is that series of dots in a grid. It's the app launcher slash. Some people call it the waffle, and if you click it if you don't see it, here's list right here you can click where it says all apps.

00:06:27.270 --> 00:06:36.060
Michael Gannotti
And Scroll down and you'll see something called lists and just click on that and that will take you to a view that says Microsoft lists.

00:06:36.690 --> 00:06:59.340
Michael Gannotti
It'll have favourites. It will have a thing for selecting a star icon to favorite a list. It'll have your most recent. If you have any. If you have none, it will be blank. They do have a filter over on the right hand side, but right underneath search there is a box in purple that says new list.

00:07:00.000 --> 00:07:03.310
Michael Gannotti
So to create a list again where you're going to.

00:07:03.890 --> 00:07:10.290
Michael Gannotti
Be able to capture data, display data and have a form for imputing that data.

00:07:10.890 --> 00:07:13.370
Michael Gannotti
We're going to go ahead and just select new list.

00:07:14.850 --> 00:07:37.680
Michael Gannotti
And we're gonna get a dialog box. And at the top it's going to top left. It'll say create a list right underneath that or three boxes. The first one says blank, so you can start creating a list from scratch where you're going to determine the attributes that you want to capture an. It will build the form. You can reorder them, but you can start from blank.

00:07:38.750 --> 00:07:40.630
Michael Gannotti
The second one is from Excel.

00:07:41.190 --> 00:07:52.330
Michael Gannotti
So if you have an Excel file where you've been doing things like, let's say, event registration, issue tracking, anything like that.

00:07:52.950 --> 00:07:57.460
Michael Gannotti
We can go ahead and you can import it and it will build a list.

00:07:58.160 --> 00:08:01.340
Michael Gannotti
Web based that anybody with.

00:08:02.770 --> 00:08:06.370
Michael Gannotti
You know a browser or I even have on my iPhone.

00:08:07.500 --> 00:08:25.750
Michael Gannotti
I have actually the list application running on my iPhone so I can get to him there, but anybody who has, you know, just a basic browser will be able to get to it or also if there the third box is from an existing list. So if somebody is created, one that you like and you want to replicate.

00:08:26.600 --> 00:08:34.580
Michael Gannotti
You can go ahead, select that. It'll build one based off of the structure and then you'll go ahead and start putting your own data.

00:08:35.960 --> 00:08:42.720
Michael Gannotti
That's the first three ways that you can do this. You can build from scratch from Excel or from existing.

00:08:43.420 --> 00:08:58.060
Michael Gannotti
The next ones, though, are the ways that I really like, and so you'll note that we have eight templates today available. There will be more coming, but today there is 8 primary ones that really. If you just want to.

00:08:59.330 --> 00:09:31.060
Michael Gannotti
Get in and start messing around. Let's get a sense as to what they can do, how you can modify, work with them, and by the way, if you work with SharePoint lists, it's going to look and feel very familiar to you, right? Just with without the limitations that you had previously. But right from here I can see we have one for issue tracking employee onboarding, which has been a big topic with customers lately. Event itinerary, Asset Management, a recruitment tracker. If you're recruiting employees.

00:09:24.670 --> 00:09:25.130
Sue Vencill
But

00:09:31.440 --> 00:10:01.420
Michael Gannotti
Travel request work progress tracker. Anna content scheduler. So like in the case of if you're doing social media, if you are maybe on the internal communications team publishing to the home page, you can look at scheduling the content publications, but I'm going to pick employee onboarding because that has been a hot topic with customers lately. Looking how do we assist with onboarding and providing?

00:10:01.460 --> 00:10:24.350
Michael Gannotti
Them a way to track their progress and so here I can come in. I'm going to select this particular one. It's going to then show me in a quick view the different content that's going to be captured, and some of the options that will happen here and I can scroll up and down or sideways to see all the various pieces.

00:10:25.200 --> 00:10:36.470
Michael Gannotti
When I'm ready, I'll select use template. I can then rename it if I want and I'll call this employee on boarding tracker in my case.

00:10:37.980 --> 00:11:07.040
Michael Gannotti
There we go, we can give it a description. I can pick a color it as a default. I can choose an icon that's going to appear with that and then the last option underneath that it says save 2 and you'll notice by default it's saved to my lists. So as the person creating it, I can save it with my own lists. Then I can share it to those I want. Or if I select the drop down you'll notice it then bubbles up.

00:11:07.350 --> 00:11:14.640
Michael Gannotti
Any of the websites that I have access to and can publish to as well as Microsoft Teams?

00:11:15.410 --> 00:11:22.410
Michael Gannotti
Both of that available here. So a lot of flexibility as to how we approach this.

00:11:23.140 --> 00:11:26.600
Michael Gannotti
I'm gonna go ahead and just select the my list. We're going to click create.

00:11:28.620 --> 00:11:30.420
Sue Vencill
Does that mean Michael will also be?

00:11:29.060 --> 00:12:02.720
Michael Gannotti
And just like that, we get this list. You'll notice it's blank, but it has here your work and you can see we can do sorting. Aid is easy to a filter by, so any of these columns where data is going to be input, we can do sorting by and we've got description complete by complete completed on mentor relevant link and then add a column. But it's been left blank. So what we might want to do is actually say.

00:12:02.810 --> 00:12:11.290
Michael Gannotti
You know what are the things we're gonna track and and put that in here under work. Then we can give it a description when it needs to be completed by.

00:12:11.640 --> 00:12:31.120
Michael Gannotti
Uh, and assign all these. It is a classic grid of data. In fact, if I want, I can even click up here at the top just above it. It says edit in grid view so I can select that and it's going to open it up in a grid. And now you can see here I can do my editing from a grid.

00:12:28.110 --> 00:12:28.560
Sue Vencill
I see.

00:12:32.630 --> 00:12:44.160
Michael Gannotti
View that without having to input data. I'm going to say exit grid view. We also have the ability to share this item with other people. So if I select that.

00:12:45.630 --> 00:13:00.810
Michael Gannotti
Who do I wanna access and it lets me pick names, groups or email. So if you have, you know security groups or different groups of people or specific people you want to share this with. This is where you can go ahead and share that out.

00:13:01.980 --> 00:13:09.630
Michael Gannotti
Next to it we have an export option, so if you want to take an offline version an Excel to work with or expect.

00:13:09.950 --> 00:13:17.780
Michael Gannotti
Uh, export it into a CSV file that somebody can play around with the output from it. You can do that as well.

00:13:19.570 --> 00:13:38.520
Michael Gannotti
There is an option to automate above so I can do things like set reminders right an based upon the fact of what this is says completed on. Could be one of those or I can create a rule and this is using power automate to create workflow within this particular.

00:13:38.910 --> 00:14:01.850
Michael Gannotti
A list that we've done. And then lastly they have integrate. So if I want to, for example create an app in powerapps to front it, it will do it automatically. It'll already pull in all this content and provide a powerapps view. Again. We have power, automate create workflows and I can visualize the list in Power BI.

00:14:02.530 --> 00:14:09.410
Michael Gannotti
And the beautiful thing, I don't know if you're seeing this Sue, but I don't have to go anywhere else.

00:14:10.230 --> 00:14:19.140
Michael Gannotti
To try to, you know like start a visualization. It says, hey, there's this data. Do you want to create a visualization? Let's do it right from here.

00:14:19.410 --> 00:14:19.920
Sue Vencill
Nice.

00:14:21.070 --> 00:14:34.430
Michael Gannotti
So lot of options. We even have alerts so you can have alerts manage my alerts when people enter data. That's all there. But if we want to get started, we're going to simply select new.

00:14:38.900 --> 00:14:44.040
Michael Gannotti
And notice it already has a form built for us so.

00:14:43.300 --> 00:14:43.730
Sue Vencill
Nice.

00:14:44.620 --> 00:14:52.280
Michael Gannotti
We have a form that's built here. We're going to go in. We can enter value so I could say for employee onboarding attend.

00:14:54.300 --> 00:14:56.110
Michael Gannotti
New employee

00:14:59.150 --> 00:15:00.080
Michael Gannotti
training.

00:15:01.570 --> 00:15:16.730
Michael Gannotti
Right, we can give it a description. We can give complete date by we can enter all this data that we might want to have a mentor for the new employees that's coming on, but we can enter all that data and when we're done.

00:15:02.680 --> 00:15:03.090
Sue Vencill
Yep.

00:15:17.900 --> 00:15:18.780
Michael Gannotti
We just save.

00:15:19.530 --> 00:15:52.370
Michael Gannotti
And it's automatically going to be here. It's viewable and people can fill that out so very quickly were able to create this nice, unique view for this employee onboarding tracker. Unique that we could then you know, reference people to as they're coming on board pointed to this. But again, we could create many others if we want to edit this. I told you we can edit in the grid view the other thing we can do though is come up here. The little gear in the upper right hand corner.

00:15:52.960 --> 00:16:09.750
Michael Gannotti
That settings and you'll notice it has list settings and if I select that this will look very familiar to those folks who've worked with the SharePoint list. In fact, it looks exactly the same. We can see the columns and I can click on any one of them.

00:16:11.660 --> 00:16:39.970
Michael Gannotti
For example, title and I can see all the attributes and things I can do to work with that or change it. I can add additional columns here, right and create a column. I can modify existing columns like. Here's a complete yes, no, we have a hyperlink or picture to a A link. We have a person or group using a D. Look up all that's there and under create a column to add additional ones.

00:16:40.550 --> 00:16:52.790
Michael Gannotti
We have all those capabilities like single lines of text, multiple lines, numbers, currency, date, look up hyperlinks, calculations, task outcomes.

00:16:54.060 --> 00:17:19.700
Michael Gannotti
All kinds of stuff that's out there that we can, you know, add to this again to go ahead and capture additional data. Finally, we can also come in here under the different views that we want to create. We can create all kinds of different views. By default there's a default mobile view that's created. There's a web default view, but if we want to create specific filtered views.

00:17:20.430 --> 00:17:35.370
Michael Gannotti
We can do that as well, and all that will look and act and work exactly like it did. If you were in the past in SharePoint lists, but this is the new Microsoft list so so any questions on this?

00:17:35.560 --> 00:17:44.640
Sue Vencill
Well, the thought in my mind is that I would yeah, this is one of the reasons if we were doing this live, I think people would have so many questions about how creative they can get.

00:17:44.850 --> 00:17:45.360
Michael Gannotti
Yeah.

00:17:45.570 --> 00:18:13.100
Sue Vencill
Like the options are limited list and I liked how when you click new those templates back just gives you 8 ideas right there of what you can do to use the list for an. I also liked what you said about using like an RSVP or an attendance list. Azure because you know when you do a webinar an RSVP you already have an access to an Excel spreadsheet that you could use to create a list. If you want to publish who's coming.

00:17:49.880 --> 00:17:50.250
Michael Gannotti
Yeah.

00:17:56.690 --> 00:17:57.020
Michael Gannotti
Yeah.

00:18:13.320 --> 00:18:13.790
Michael Gannotti
Yep.

00:18:13.800 --> 00:18:15.280
Sue Vencill
You know, that could be pretty cool.

00:18:15.470 --> 00:18:29.540
Michael Gannotti
Yeah, exactly that. That is to me. That's powerful, right? So and you can do all this now. This is a great example and you know again, we can take this anywhere, anytime, anyplace. So this was kind of standalone.

00:18:20.340 --> 00:18:21.020
Sue Vencill
Yes.

00:18:31.130 --> 00:18:34.190
Michael Gannotti
But what about within the context of a website itself?

00:18:34.510 --> 00:18:35.400
Sue Vencill
Yes.

00:18:35.950 --> 00:18:38.250
Michael Gannotti
So here I have this particular one.

00:18:39.430 --> 00:18:46.050
Michael Gannotti
And you know, I'll just show you an example. I think I did. Yeah, I do have onboarding let me go over here.

00:18:47.200 --> 00:18:54.440
Michael Gannotti
I have another site I just thought of doing this and resources and tools. They have it here.

00:18:55.220 --> 00:18:55.930
Michael Gannotti
Uh.

00:18:57.790 --> 00:19:00.420
Michael Gannotti
Find out where they oh, your onboarding starts here.

00:19:01.360 --> 00:19:03.620
Michael Gannotti
A new hire checklist.

00:19:01.370 --> 00:19:01.710
Sue Vencill
Yes.

00:19:04.960 --> 00:19:05.890
Michael Gannotti
Look familiar.

00:19:06.160 --> 00:19:07.470
Sue Vencill
Yes it does.

00:19:07.580 --> 00:19:17.670
Michael Gannotti
Yeah, so here is for new hires. Here's a populated one. They used doing the same function, but they trimmed it down to exactly what they wanted.

00:19:19.240 --> 00:19:42.030
Michael Gannotti
An it's been added to this particular webpage, right? So you can actually and this is part of, by the way. This site this template for the whole site with this one this came from lookbook.microsoft.com. But let's say I'm going to go back to the landing or other one. Let's say we wanted to add a new employee.

00:19:42.540 --> 00:20:05.490
Michael Gannotti
Uh, you know, hiring one. It's simple within the context of SharePoint itself. I'm going to come over on the home page here of this SharePoint site and in the upper right hand corner again the gear. That means settings. If you have permissions. If I come over here, I'm going to go to in this particular one site contents.

00:20:06.600 --> 00:20:08.700
Michael Gannotti
And when I go to site contents.

00:20:09.740 --> 00:20:22.080
Michael Gannotti
Right at the upper right, assuming upper left, underneath the title of this site, it says new and there's a plus, you know, icon. There's also a drop down indicator when I click that.

00:20:22.780 --> 00:20:28.500
Michael Gannotti
We have an option for a new list and so I can come in here and click list.

00:20:29.230 --> 00:20:35.230
Michael Gannotti
And I get the exact same dialog box to create a blank.

00:20:35.870 --> 00:20:37.240
Michael Gannotti
Free from Excel.

00:20:37.970 --> 00:20:45.800
Michael Gannotti
From an existing list and then we have those same 8 templates, so all of those are available here.

00:20:48.060 --> 00:21:03.110
Michael Gannotti
For us to work with, I'm just going. I'll choose something different this time. Will say travel requests, so now people off the home page and will be able to link it off of our navigation. Will be able to request travel, I'll just say.

00:21:04.240 --> 00:21:12.380
Michael Gannotti
I like to capitalize travel request. It can show in site navigation. We'll go ahead and do that select create.

00:21:15.480 --> 00:21:20.600
Michael Gannotti
And there we go. It's added it up here into the navigation for people automatically.

00:21:18.940 --> 00:21:19.350
Sue Vencill
Yeah.

00:21:21.310 --> 00:21:27.120
Michael Gannotti
Who has access to this in this case? Now everybody who has access to the site?

00:21:27.930 --> 00:21:32.480
Michael Gannotti
Has access to this particular list so I can go ahead and close that.

00:21:33.690 --> 00:22:01.240
Michael Gannotti
And then they can come in here again. They could select new, they can edit this, but if they select new then they'll get the form to go ahead and fill this out and it also has the same options as previously. You know, maybe I want to set up a power automate workflow to automatically alert their manager around the travel request and we could do that here, but it's all been provided for.

00:22:03.130 --> 00:22:24.960
Michael Gannotti
And I again I did it right within context of SharePoint and now if I come back to the home page of this site you can see there it is in my navigation. If I want to to add that under find, I certainly could move that. But the point is it made it quick, simple and easy and now it's integrated right into this site just like we did before.

00:22:25.390 --> 00:22:29.240
Sue Vencill
I love it and if you need to update it or make a change is one place.

00:22:30.050 --> 00:22:33.730
Sue Vencill
And then whatever websites, wherever you have it, it would update it everywhere.

00:22:34.040 --> 00:22:56.920
Michael Gannotti
And you know what? This website? Let's just all go over here in teams, by the way, that website happens to be part of my auto Viva connections. So now I can do travel requests right from within teams. My Viva connections homepage. It's right here. I click travel requests I never leave.

00:22:53.970 --> 00:22:54.460
Sue Vencill
Love it.

00:22:58.180 --> 00:22:58.630
Michael Gannotti
Done.

00:22:59.570 --> 00:23:12.650
Sue Vencill
Yeah, Anan great because a lot of times, especially if you're new, I can speak to that sometimes you don't know where to start. It's hard, you don't know where to look. And if you can go to the main central landing spot for employees, that's.

00:23:07.860 --> 00:23:08.220
Michael Gannotti
Yeah.

00:23:12.390 --> 00:23:12.760
Michael Gannotti
Yep.

00:23:13.580 --> 00:23:15.650
Sue Vencill
Where you going to find it? I love it.

00:23:15.820 --> 00:23:16.660
Michael Gannotti
And it's there.

00:23:17.410 --> 00:23:38.170
Michael Gannotti
So we'll take it the very last leg of the journey here. I'm now in a team in teams would if we need a list to track data for my team. Well in the old days we may have done access or something else. Or we could do excel, but why not just go ahead? Click the plus.

00:23:39.950 --> 00:23:42.570
Michael Gannotti
I'm going to type list.

00:23:43.340 --> 00:23:46.090
Michael Gannotti
And there it is. There's my lists icon.

00:23:46.680 --> 00:23:50.270
Michael Gannotti
We're going to select that will say add it to this.

00:23:50.910 --> 00:23:59.470
Michael Gannotti
A particular one. Once I do it says select save to finish adding lists to this channel. I'll go ahead and do that.

00:24:01.170 --> 00:24:03.490
Michael Gannotti
And since it's my first list.

00:24:04.310 --> 00:24:21.620
Michael Gannotti
Create one or add an existing list. So guess what those other two we just created. I could just select that one of those and drop it in here. But let's click create a new and Oh my goodness, it looks a little different, not much.

00:24:13.670 --> 00:24:14.010
Sue Vencill
Wait?

00:24:20.470 --> 00:24:21.120
Sue Vencill
Does.

00:24:22.280 --> 00:24:34.950
Michael Gannotti
The only thing different is there's three additional ones that have been uploaded and added in here. Three additional templates, so at the very top we still have Blank XL an existing.

00:24:36.070 --> 00:24:38.880
Michael Gannotti
But now for templates we don't have 8.

00:24:39.870 --> 00:24:40.950
Michael Gannotti
We've got 11.

00:24:41.680 --> 00:25:03.210
Michael Gannotti
Because I've got some of the loan, what some of the healthcare stuff and financial services. So if I come in here again, I said we're create, we're continuing to create so you can continue to add. I'm going to add patients here, record the needs and status of patients so care teams can monitor and coordinate care.

00:25:04.540 --> 00:25:07.990
Michael Gannotti
And I can look through all that.

00:25:09.390 --> 00:25:11.640
Michael Gannotti
Once I'm done, say use template.

00:25:12.560 --> 00:25:17.080
Michael Gannotti
Again, color icons, I'm just gonna select create.

00:25:18.670 --> 00:25:48.770
Michael Gannotti
So now for my team that's working a floor of, you know, a hospital wing or something and they want to monitor all that. Now I've added that within our team and they can select a new item just like previous. They're going to get the form right within teams here laid out nice form to go ahead, enter name, insurance and all that other data. And again, because it is just teams, I can always then connect this.

00:25:49.200 --> 00:26:01.390
Michael Gannotti
Via workflow to other systems, I can go ahead and visualize it so we can have a visualization with power BI. All that's available. It's all right here, and I've done it right in my team.

00:26:02.060 --> 00:26:05.070
Michael Gannotti
And that's it. Lists there everywhere.

00:26:05.540 --> 00:26:06.340
Sue Vencill
That's awesome.

00:26:08.010 --> 00:26:08.960
Sue Vencill
Very powerful.

00:26:09.450 --> 00:26:22.890
Michael Gannotti
So I'm going to stop presenting. I'll be making sure you know I'm going to put links in for everybody into our post around where they can get started. There's some great post with demos by Mark Cashman, but.

00:26:23.680 --> 00:26:25.750
Michael Gannotti
Start playing with lists, they're awesome.

00:26:29.010 --> 00:26:30.520
Sue Vencill
Right ready for my turn.

00:26:31.050 --> 00:26:32.070
Michael Gannotti
I am ready.

00:26:33.390 --> 00:26:40.300
Sue Vencill
Uh, and I'm gonna need you to help me with this demo, so let me go ahead and share my screen.

00:26:44.320 --> 00:26:44.340
Michael Gannotti
Uh.

00:26:44.860 --> 00:26:48.760
Sue Vencill
It will be popping up here momentarily. Actually I won't share my whole window.

00:27:04.150 --> 00:27:05.480
Michael Gannotti
Basta sherries.

00:27:16.600 --> 00:27:19.940
Sue Vencill
Hey, I left you for a second but don't worry you still there.

00:27:24.210 --> 00:27:33.390
Sue Vencill
OK, we're going to keep going, so let me go ahead and share my screen. It was kind of giving me a problem when I did a pop out from my window, but that's alright. We're just going to show the whole thing.

00:27:33.940 --> 00:27:53.910
Sue Vencill
So right there you go. You should be seeing my desktop. Hopefully Mike is going to come back and join us. I am going to show you how to upload a document. An first I'll upload it to teams and then anyone that's part of that group chat will be able to participate in that you back like.

00:27:54.280 --> 00:27:59.270
Michael Gannotti
I back I got it I it popped me out into a separate.

00:27:59.470 --> 00:28:10.070
Sue Vencill
I think that's my fault my I was trying to use the pop out window, but that's OK. I kept going and we just kept it going. So right here is where I want to open it up and I'm going to open up this doc in teams.

00:28:11.710 --> 00:28:42.350
Sue Vencill
And right now this is a group chat I have with Mike G and he ran also Pete, who is sometimes a guest appearance here on Mid Day Cafe an we are working on this document together an here if I want to see the conversation that's going on. I can see this is the conversation that's actually happening in Microsoft Teams. So let me do a quick recap. I uploaded the document into the group chat and then from from teams I opened up the document.

00:28:42.400 --> 00:29:14.400
Sue Vencill
Inside of teams, and that's what you're looking at right now. I clicked on conversation so that I could see my entire history in my conversation all the way from the moment I shared the file, we talk back and forth and I can also see some changes have been made. It Pete or Mike G if they were also in this document. Not only would I be able to see that they're in it, like I can see right here, that Mike's right up there, but I'd also be able to see what what slide their own too, so we can make sure we're looking at the same slide.

00:29:15.010 --> 00:29:40.620
Sue Vencill
I can click on this little button right here if there were any changes that were made that I missed, so real quick I can catch up on all the activity that's happened since the last time I looked at the document. I think that's pretty cool and then also I do also like doing the comments because these comments I can have on each slide. So here's a comment I made to Mike G for example.

00:29:40.850 --> 00:29:48.350
Sue Vencill
Uhm, that's specific to this slide. And then over here is our conversation that's inside of teams as we're going back and forth.

00:29:46.880 --> 00:29:47.410
Michael Gannotti
Yep.

00:29:50.910 --> 00:30:06.970
Sue Vencill
Right here is where I can see Mike G. He's on this slide right now so we both can be looking at the same slide at the same time. A couple other features. I love. This slide has been hidden and I like how it's got this banner now so you can easily see that it's been hidden.

00:30:07.830 --> 00:30:11.270
Sue Vencill
I can also see that look, there's a change happening live.

00:30:12.430 --> 00:30:15.240
Sue Vencill
The beautiful thing is that.

00:30:16.240 --> 00:30:40.030
Sue Vencill
Even though we're not together in the same room, we can be working on the same dock, and I think it's even better because we don't have to be available at the same time to work on the document. We also don't have to be in the same place I can catch up quickly, and that means that we can get this job done without having to schedule a meeting. And I'm all about less meetings. That's my preference.

00:30:20.000 --> 00:30:20.370
Michael Gannotti
Honey.

00:30:37.030 --> 00:30:37.570
Michael Gannotti
Right?

00:30:41.220 --> 00:30:51.170
Sue Vencill
So that is being able to share a dock inside of teams. Again, I think this is going to be very popular as some people start to return to work while the rest of us.

00:30:51.440 --> 00:30:54.570
Sue Vencill
Uhm, a lot of us are probably going to remain working from home.

00:30:56.750 --> 00:30:59.770
Sue Vencill
Any questions there, Mike. Anything highlights.

00:30:58.200 --> 00:31:14.530
Michael Gannotti
No, I mean, I agree. I think it. You know collaboration Co. Collaborating on document with multi party is one of those things that still when people are in teams that are not thinking about that which.

00:31:14.270 --> 00:31:14.590
Sue Vencill
OK.

00:31:15.490 --> 00:31:18.270
Michael Gannotti
You know amazes me like they think, OK, yeah I chat.

00:31:19.040 --> 00:31:29.750
Michael Gannotti
I do this, I tell people to do that. We create a team and we're dumping our docs and all that, but live real time collab is still something which.

00:31:30.330 --> 00:31:37.520
Michael Gannotti
The reason why it's funny to me, I mean my my daughter, I'll just say my daughter is 23 now back when she was in high school.

00:31:38.680 --> 00:31:44.100
Michael Gannotti
Her and her peers were Coco were collaborating on documents together.

00:31:44.840 --> 00:31:49.220
Michael Gannotti
Why from home? I remember one time her being at home and her going.

00:31:50.450 --> 00:31:59.740
Michael Gannotti
And I said what she goes this stupid boy on our project. He keeps changing this. And then everyone went back and they were alive on a thing an.

00:32:00.330 --> 00:32:27.140
Michael Gannotti
She had turned off the audio to the but she was mad at him 'cause he was doing stuff and they were having to tell him stop and do this and that, but it is something that you know your Gen X or some stuff coming up. They're going to expect and they're expecting to be able to do these things and it's built in, you know, and that full collaboration collaborations not just talking, having meetings, it's actually working live.

00:32:17.580 --> 00:32:18.020
Sue Vencill
Read.

00:32:27.730 --> 00:32:28.040
Sue Vencill
Agree.

00:32:28.850 --> 00:32:58.060
Sue Vencill
Agreed, and of course I'm going to take this one step further, Mike, because what would a mid day cafe be without mentioning something about accessibility? So one of the things I can also do. While we're all collaborating on this document, I can go here to review and this is where I can do the check accessibility button. It's really important. I never paid attention to this before until now Microsoft's done such a great job on awareness and closing the disability divide. It's just.

00:32:58.370 --> 00:33:23.530
Sue Vencill
It's a priority of ours, and it's really important for those that are using any kind of an aerator or screen reader. We want them to get just as much out of a slide as you were me, so here I have no major errors. When I did my accessibility checker, but look, I have one here that has a slide and it's it should pop up here.

00:33:06.960 --> 00:33:07.140
Michael Gannotti
Yeah.

00:33:24.600 --> 00:33:29.230
Sue Vencill
Yeah, right here where it's like warning me hey this slide is going to be hard for someone to read.

00:33:29.840 --> 00:34:02.160
Sue Vencill
So at this point I can either I can take the time to reformat, come up with a different selection, but it's a warning and that's all the cells that are hard to read that it's pointing out. And then there's another one an It's this slide 11 where it's letting me know that the order might be funny. In other words, when someone's using an aerator, we want it to read the title first, then we wanted to read the Box 1, Box 2, Box 3, right? It wouldn't make sense it was box for title.

00:33:52.100 --> 00:33:52.570
Michael Gannotti
Yeah.

00:34:02.210 --> 00:34:09.040
Sue Vencill
Second box, so this gives you an idea. Hey, you need to go and check and make sure the order of this slide is correct.

00:34:09.340 --> 00:34:10.020
Michael Gannotti
Gotcha.

00:34:10.320 --> 00:34:25.980
Sue Vencill
And now some features. Sometimes to get the full features of PowerPoint, you do have to open it up in the app and this is an example of one of am so. In order to do the order pain you do have to open up the app. So let me just show that really quick.

00:34:18.810 --> 00:34:19.180
Michael Gannotti
Yeah.

00:34:26.980 --> 00:34:57.580
Sue Vencill
Are you seeing the new PowerPoint slide good, so it's all again, it's all under the review button and here where you this was not available in teams, but when you go to the app, there's this reading order pain and this is what's going to allow me to actually. So this rectangle here. I don't want that to be right at all, so I uncheck it and then I can go. It's going to read it, you know, in the order it's going to read the title first, then I'll read number one.

00:34:28.540 --> 00:34:28.930
Michael Gannotti
Yeah.

00:34:29.950 --> 00:34:30.360
Michael Gannotti
Yep.

00:34:44.390 --> 00:34:44.840
Michael Gannotti
Yeah.

00:34:57.720 --> 00:35:01.040
Sue Vencill
See how it's height can you see how it's highlighting the pictures as I go down?

00:35:00.170 --> 00:35:00.570
Michael Gannotti
Yep.

00:35:01.520 --> 00:35:02.020
Michael Gannotti
Yeah.

00:35:02.810 --> 00:35:15.420
Sue Vencill
And that's just another way where you can make sure that you will. I'm going to use the I word inclusive where you can make sure you're being inclusive so that all people of all abilities are able to get the most out of your content.

00:35:09.030 --> 00:35:09.400
Michael Gannotti
Yeah.

00:35:13.840 --> 00:35:14.180
Michael Gannotti
Yeah.

00:35:16.450 --> 00:35:22.070
Michael Gannotti
So that's awesome, and it's a great way to go in. And if you need to quickly change the order.

00:35:22.640 --> 00:35:29.850
Sue Vencill
Yep, an you want it. When you add. I love adding pictures and things like that an.

00:35:30.700 --> 00:35:42.650
Sue Vencill
Thing is, someone using a screen reader they will have no idea what that picture is. If you don't Add all text and that's really easy. Two any image you right click and you can edit all text I. I mean it's right there.

00:35:34.440 --> 00:35:34.810
Michael Gannotti
Right?

00:35:36.080 --> 00:35:36.470
Michael Gannotti
Yeah.

00:35:41.160 --> 00:35:41.460
Michael Gannotti
Yeah.

00:35:43.790 --> 00:35:44.490
Sue Vencill
So.

00:35:43.970 --> 00:35:45.100
Michael Gannotti
No very cool.

00:35:45.680 --> 00:35:47.820
Michael Gannotti
And that's for all the office apps.

00:35:45.820 --> 00:35:46.590
Sue Vencill
Yeah, I love it.

00:35:48.080 --> 00:35:49.420
Sue Vencill
Yes, that's right.

00:35:48.660 --> 00:35:52.780
Michael Gannotti
So yeah, not just PowerPoint, but Word, excel.

00:35:51.870 --> 00:35:52.270
Sue Vencill
Yeah.

00:35:53.270 --> 00:35:53.750
Sue Vencill
Yep.

00:35:54.480 --> 00:35:58.070
Sue Vencill
And all the same way you're going to find it under the review tab for all of them.

00:35:59.970 --> 00:36:00.690
Michael Gannotti
Very cool.

00:36:00.020 --> 00:36:01.050
Sue Vencill
So there you go.

00:36:02.030 --> 00:36:04.290
Sue Vencill
Work together while being apart.

00:36:04.790 --> 00:36:08.060
Michael Gannotti
And make it accessible for everybody irrespective.

00:36:07.570 --> 00:36:08.060
Sue Vencill
Back

00:36:09.100 --> 00:36:15.150
Michael Gannotti
So great, so I think you know we had a. We actually ended up with three things 'cause.

00:36:14.950 --> 00:36:16.540
Sue Vencill
I had a little surprise there.

00:36:16.370 --> 00:36:34.500
Michael Gannotti
That's alright, no, that's awesome so you know will include links to all the pieces about this where you can learn more, so will send me ones. I'll post ones around. What do they show around lists? And Oh yeah, I keep hearing my grandkid my grandson. He's 3 running around up there.

00:36:29.340 --> 00:36:30.240
Sue Vencill
Yes, yes.

00:36:34.940 --> 00:36:36.030
Sue Vencill
That's where you need to be.
